Utilization and Consolidation
Proper Utilization
As Printelligent collects data and learns more about your print environment, we work together to implement a new set of best practices. The end result is a finely-tuned and highly-managed print environment. It starts with making sure your print devices are being utilized properly.
Each print device has an ideal utilization range, measured in suggested pages printed per month. Your print costs are optimized when the device's actual use is well aligned with its suggested page range. Substantial savings are seen when you align your most cost-effective printers with your highest print volume. Implementing this simple principle will reap huge rewards for your business. Printelligent uses management reports to identify over/under-utilized devices and makes recommendations for realigning print device locations according to print volume.
Consolidation
A Wholistic View
Purchasing power for printer devices is often held by several individuals within an organization leading to decentralization in purchasing practices and an over-abundant print fleet. For example, most often Administrators are purchasing copiers and IT Managers are purchasing printers. Printelligent takes a wholistic view in making recommendations to manage your print environment and purchase print devices. This approach results in the consolidation of devices, brands and models, as well as the consumables required, space needed, energy consumed and service providers contracted. The result is a perfect balance between the most current technology, employee productivity, and the cost of operating the entire print environment.
Sometimes Less is More
Single-function printers, copiers, fax machines and scanners are all considered to be print devices, often with similar functionality and technology. Printelligent recommends the adoption of Multifunction Printers (MFPs) to consolidate four devices into a single device.
Remember Employee Productivity
The adoption of MFPs allows for a reduction in print fleet assets; however, Printelligent recommends not reducing devices to the point of hurting employee productivity. If devices are too far from users, valuable time is lost getting to/from devices. Our experience has shown users are best served when employees can either see or hear the document device they use most often. This practice maintains employee satisfaction and productivity.
Balanced Deployment
The idea behind implementing a mixed environment is often called balanced deployment. This industry-endorsed concept recommends the ongoing deployment of print-centric devices be at the workgroup level, and allows for exceptions for both personal and departmental devices where appropriate. The end result is a balanced print-centric environment that has a mix of personal, workgroup, and departmental printers and MFPs, ideally matched to the workforce need.
