Electronic Document Management – What is it?
Electronic Document Management (EDM) is the process of capturing, storing, retrieving, routing, approving, and processing – business documents. Its purpose is to better manage the costs associated with these document processes. Documents are captured and stored electronically in a central repository for easy retrieval and routing. Increased efficiencies in business processes are realized through:
- Reduced paper clutter
- Easier access to documents
- Lower costs of imaging and storing documents
- Reduced risk and exposure to legal issues
According to the Institute of Management and Administration:
- The average cost to process an invoice is $15.
- When some business automation is added, the cost is reduced to $6.
- When EDM is implemented, the cost is reduced to $3.
EDM Process
Following are the basic steps involved in an EDM workflow:
- Capture – Scanning and/or imaging of the paper document; or access to electronically created document
- Storage – Filing of the scanned/imaged document or electronic file in an organized electronic filing cabinet, attaching an electronic header with searchable data fields and key words to assist in retrieving the document by employees
- Business Process Management – Establishing process rules to ensure adequate routing of the document for review and/or approval; including legal compliance requirements for HIPAA and Sarbanes Oxley
- Records Management – Applying access security protocols and automated retention and destruction policies
